Position Overview
Futron is seeking a detail-oriented and highly organized Bid and Proposal Support Specialist to support the company’s federal proposal and business development efforts. This position will report directly to the Proposal Manager and will work closely with internal teams, subject matter experts, program managers, contracts personnel, and other stakeholders to support the development and submission of competitive federal proposals.
The ideal candidate will have direct experience supporting federal bids and proposals, particularly those associated with Government Wide Acquisition Contracts (GWACs), such as NASA SEWP, along with a strong understanding of federal contracting, acquisition processes, solicitation requirements, and proposal documentation.
The Bid and Proposal Support Specialist will assist with proposal preparation, compliance reviews, and submissions, as well as requirements tracking, document development, research, and coordination of proposal inputs across multiple company stakeholders.
Education and Minimum Experience Requirements
- Bachelor’s degree in a related field; equivalent professional experience may be considered.
- Minimum 5 years of experience supporting federal government contracting, acquisition, procurement, proposals, or a related function.
- Direct experience supporting NASA SEWP or other large GWACs strongly preferred.
Key Responsibilities
Proposal Development Support
- Support the Proposal Manager throughout the full proposal lifecycle, from solicitation review and planning through final submission.
- Manage and track multiple concurrent proposal efforts, action items, and deadlines.
- Assist with proposal planning, coordination, and development in accordance with solicitation requirements.
Solicitation & Compliance Analysis
- Review NASA SEWP and other federal solicitations, RFIs, RFPs, RFQs, SOWs, PWSs, task orders, and acquisition documents.
- Identify requirements, deliverables, deadlines, evaluation criteria, submission instructions, and compliance considerations.
- Track proposal requirements and assist in ensuring all solicitation requirements are addressed.
Proposal Research & Content Development
- Conduct market, competitive, and acquisition research to support proposal development.
- Develop, maintain, and organize proposal content, including corporate information, past performance, capabilities, resumes, templates, and other reusable materials.
- Support the development and maintenance of proposal content libraries and standardized templates.
Stakeholder & Proposal Input Coordination
- Coordinate with technical, operations, contracts, finance, recruiting, management, and other internal stakeholders.
- Collect and integrate technical, pricing, staffing, resume, commitment, corporate, and other required proposal inputs.
- Follow up with stakeholders to ensure required information is accurate and received within established deadlines.
Proposal Quality Control & Submission
- Prepare, format, edit, and quality-check proposal documents and supporting materials.
- Review proposal materials for formatting, grammar, consistency, completeness, and compliance.
- Identify missing information, inconsistencies, and compliance gaps and coordinate resolution.
- Maintain organized proposal files and supporting documentation.
- Assist in ensuring complete, accurate, and timely proposal submissions in accordance with solicitation instructions.
Knowledge, Skills, and Abilities Required
- Experience supporting federal government proposals, RFIs, RFPs, RFQs, task orders, or similar acquisition documents.
- Strong ability to read and interpret solicitation requirements, identify compliance requirements, deadlines, deliverables, evaluation criteria, and submission instructions.
- Exceptional attention to detail with a strong focus on formatting, compliance, grammar, consistency, and accuracy.
- Highly organized and deadline-driven with the ability to manage multiple proposal efforts simultaneously.
- Excellent written communication skills, including the ability to develop, edit, proofread, and refine professional proposal content.
- Strong coordination and collaboration skills with the ability to work effectively across technical, operations, contracts, finance, recruiting, and management teams.
- Strong working knowledge of Microsoft Word, Excel, PowerPoint, SharePoint, Teams, Adobe Acrobat, proposal AI tools, and document management and collaboration platforms.
- Understanding of federal acquisition terminology, contracting processes, contract vehicles, and government proposal requirements.
- NASA SEWP experience is highly desirable.
- Strong quality-control mindset with the ability to identify and resolve missing information, inconsistencies, and compliance gaps.
- Resourceful and proactive, with the ability to independently locate information, follow up with stakeholders, and escalate issues when necessary.
- Ability to work effectively under pressure in a fast-paced environment with competing priorities and firm submission deadlines.
- Ability to work independently while remaining closely aligned with the Proposal Manager and broader team.
- Professional judgment and discretion when handling sensitive proposal, pricing, staffing, customer, and corporate information.
- Continuous-improvement mindset with an interest in improving proposal templates, processes, reusable content libraries, tracking tools, and overall efficiency.
Clearance
- U.S. Citizenship required.
- Ability to obtain and maintain a U.S. Government security clearance, if required by contract.
